Those phrasings, collected and assigned to specific pages of your site, are what we call a keyword map (you may also see it called a semantic core).

Many people assume you can’t build one without paid tools and specialist software. That isn’t true. For a small business site, a store with a few hundred products or a service website, Google’s free tools, a spreadsheet and a few evenings of careful work are usually enough. Below is the step-by-step process we use ourselves when the budget is tight or a niche needs a quick check.

What a keyword map is, and why SEO without one is guesswork

A keyword map is not just a list of keywords. It’s a map: which searches exist in your niche, how they group by meaning, and which page on your site is responsible for each group. Without it, two pages compete for one query while half the demand has no page at all.

A well-built keyword map answers several practical questions:

which sections and categories the site needs, and how many;

what headings, title tags and meta descriptions to write for each page;

what to blog about so articles actually bring in visitors instead of just filling a section;

how to link pages to one another;

which queries to track to measure SEO results.

Before you start collecting, it helps to agree on query types. The type determines which kind of page should answer the query, so we add this column to the spreadsheet on day one.

Query type

Example

Which page answers it

Commercial

“buy corner sofa,” “bathroom renovation cost”

Category page, service page

Informational

“how to choose a mattress,” “how long does plaster take to dry”

Blog post, guide

Navigational

brand name, “contact,” “delivery”

Home page, utility pages

Mixed

“best vacuum cleaners for home”

Depends on the results page — check manually

Step 1. Lay the groundwork: seed keywords

Seed keywords are short two- or three-word phrases that describe your products or services in the plainest possible terms: “corner sofa,” “sliding wardrobe,” “stretch ceilings,” “washing machine repair.” Each seed is the starting point for an entire branch of your keyword map.

Where we find seed keywords:

Site structure. Every section, category or service is at least one seed.

Product range and price list. Product types, brands, materials, key specifications.

Conversations with customers. How people describe what they need on the phone or in WhatsApp, Viber or Telegram. These are often completely different words from your catalog: you write “storage systems,” while the customer searches for “hallway wardrobe.”

Competitors’ menus. Open the sites of three to five strong competitors and note down the categories you don’t have.

Synonyms and slang. “Fridge” and “refrigerator,” “laptop” and “notebook,” “sofa” and “couch.”

Ignore search volume for now: an extra seed is better than a missed area of demand. A service site typically ends up with 20–50 seeds; a store, a hundred or more.

Step 2. Expand the list with free tools

Now each seed needs to be expanded into dozens of real-world phrasings. We use five free sources and pull everything into one spreadsheet with these columns: query, source, search volume (if available), query type, seed.

Google Search Console

If your site is already live, this is the most valuable source, because it shows real queries your site has appeared for, not estimates. In the Performance report, choose a period of at least three months, turn on impressions, clicks, CTR and position, and export the queries table. The interface only returns the first thousand rows, so for larger sites we filter the report by section (the “Page contains” filter) and export in batches.

Pay special attention to queries with plenty of impressions and an average position between 8 and 30. That’s demand Google already links to your site, but without a strong page.

Google Ads Keyword Planner

Keyword Planner is free — you only need a Google Ads account; you don’t have to run ads. Enter up to ten seeds, set the country and language, and you’ll get hundreds of suggestions with average monthly searches. Without active campaigns, volume is shown as ranges (“100–1K”), but that’s perfectly adequate for prioritizing. The “Start with a website” option suggests queries based on a competitor’s page.

Google Autocomplete and SERP features

Autocomplete in the search box shows how people finish a phrase. We type a seed plus a space, then work through the alphabet (“corner sofa a,” “corner sofa b”…), and add modifiers too: “price,” “how,” “which,” “for,” “reviews,” a city name. We do this in an incognito window so your history doesn’t skew the suggestions.

Two blocks on the results page itself are just as valuable: “People also ask,” which gives you ready-made topics for articles and FAQs, and “Related searches” at the bottom of the page, which reveals new phrasings and synonyms.

Google Trends

Trends doesn’t show absolute numbers, but it answers two important questions. The first is seasonality: when demand for “air conditioner” or “school backpack” starts to climb and when you should have pages ready. The second is comparing phrasings: which is more popular in your region, “couch” or “sofa,” “tiles” or “tiling.” That determines which word goes into your H1 and title tag.

Competitors

Sites that already rank at the top are a hint Google gives you for free. We look at their menu structure, the title tags and H1s of their categories, their
sitemap.xml
file (usually available at
/sitemap.xml
) and their blog sections. The
site:
search operator helps you see which of a competitor’s pages are indexed for a given topic.

Two more sources people often forget: your site search report (in GA4 you can set it up via the search event) and call recordings or your sales team’s message history. They hold queries too new or too niche for any tool.

Step 3. Clean out the junk

After collection, your spreadsheet will usually have several thousand rows, and a good share of them are useless to you. Cleaning is tedious but critical: skip it and clustering takes twice as long, and some pages end up optimized for queries that never bring customers.

What we delete or move to a separate sheet:

Duplicates. First we convert everything to lowercase and strip extra spaces, then remove repeats. Spreadsheets have a built-in “remove duplicates” function for this.

Irrelevant queries. “Free,” “DIY,” “essay,” “jobs,” “used” if you only sell new items. We keep a list of negative keywords and filter the sheet against it.

Other brands and locations you don’t work with.

Queries with zero volume in every source — but only if they didn’t come from Search Console. There, even a rare query represents a real person.

Ambiguous phrases where the results show something else entirely. “Mouse” could mean a computer accessory or an animal — check the results before you keep the query.

After cleaning, we tag each query with its type (commercial, informational, navigational) and, where data exists, its search volume. A service site typically ends up with 300–800 queries; a store, several thousand.

Step 4. Cluster queries by search results in a spreadsheet

Clustering means grouping queries so that each group is served by a single page. The most common mistake is grouping “by meaning,” based on gut feeling. To a person, “corner sofa” and “corner sofa bed” may look like the same thing, but Google may see them differently. So we group by what we see on the results page: if the search engine shows the same pages for two queries, it considers them one topic.

Paid tools do this automatically, but for a few hundred queries you can easily replicate the method in Google Sheets:

Pick your core queries. Take the 100–200 most important by volume and commercial value. Long, rare queries get added to the groups later.

Capture the top 10. For each query, in an incognito window and with the right location set, copy the URLs of the first ten organic results into a row: the query in column A, URLs in columns B–K. Skip ads, map packs and videos.

Count the overlaps. For any pair of queries, a formula such as
=SUMPRODUCT(COUNTIF(B2:K2, B3:K3))
counts the shared URLs. We build a small “each against each” matrix within a single seed.

Set a threshold. Our working threshold is 3–4 shared URLs out of ten. More than that, and the queries go on one page. Fewer, and they go on separate pages.

Assemble the groups. The highest-volume query in each group becomes the “primary” one — the H1 and title tag are written for it, while the rest go into the body copy, subheadings and meta description.

Yes, this is manual work, a few minutes per query. But it reveals things a plain list never will. For example, that Google splits “sliding wardrobe for hallway” and “sliding wardrobe for bedroom” across different pages, while “washing machine repair” and “washer repair” are definitely one topic.

Queries are grouped into one cluster when their top-10 results share several of the same URLs — four out of ten in this example.

We also look separately at the type of pages ranking in the top 10. If the whole first page for “types of stretch ceilings” consists of articles, there’s no point trying to rank a store category for it: you need an article that then links to your catalog. And the reverse is true: if the results for “stretch ceilings price” are all service pages with price lists, an article won’t get in.

What about the long tail — hundreds of four-to-six-word queries and one-off searches? Checking the results for each one isn’t worth it. We sort them by shared words: anything containing “corner” and “bed” goes into the corner sofa bed group, anything with “price” or “cost” goes into the matching commercial group. If a query doesn’t fit any group, that’s a signal to check its results separately — you may have found a new topic.

Step 5. Map clusters to pages

Now each group of queries needs to be tied to a specific URL on your site. We add columns to the cluster sheet: “Existing page,” “New page needed,” “Page type,” “Primary query,” “Priority.” The SEO specialist, copywriter and developer all work from this document.

Cluster

Sample queries

Page

Action

Corner sofas

corner sofa, buy corner sofa, corner sofas price

Category /sofas/corner/

Update title, H1, copy

Corner sofa beds

corner sofa bed, corner sleeper sofa

None

Create a subcategory or SEO filter page

Choosing a sofa

how to choose a sofa, best sofa filling

None

Blog post linking to categories

Delivery and assembly

furniture delivery, sofa assembly

/delivery/

Expand the page

The core rules we follow when mapping:

One cluster, one page. If two pages target the same group, they’ll compete with each other, and often neither reaches the top. This is known as keyword cannibalization.

Existing pages first. A page that already has impressions, links and history will reach the top faster than a new one. So we first look for an existing URL where the cluster fits.

New pages only for real demand. A cluster of one rare query just gets a mention on a related page.

The results page decides the page type, not our preferences. As mentioned above, informational clusters go to articles.

We set priority with simple logic: commercial value × search volume × realistic chance of reaching the top. First come the clusters where a page already sits in positions 5–20 and the query leads to a sale. We covered how to set up a page for its cluster — title tag, headings, copy, meta tags — in our article “On-page SEO basics.”

Each cluster in the spreadsheet is assigned to a single page — a category, subcategory, article or utility page — with a priority number.

For online stores, this map often becomes the foundation of a new catalog structure: subcategories and SEO filter pages appear where there’s demand, and redundant sections disappear. We showed what this looks like in practice in “Five tips for ecommerce SEO.” Informational clusters, meanwhile, turn into a blog content plan — for how to write those pieces so they answer the query instead of reading like keyword-stuffed filler, see “Writing content for your website.”

How to keep your keyword map up to date

A keyword map isn’t a document you build once and forget. Demand shifts, competitors launch new sections, and Google reconsiders which pages to show. Here’s our minimum routine:

Monthly — review new queries in Search Console and the site search report, and add them to existing clusters.

Quarterly — check whether two pages have started competing for the same query (in Search Console you’ll see different URLs alternating for one query).

Before peak season — check Google Trends and prepare seasonal pages one to two months ahead of the peak.

When launching new products or services — run through all five steps for each new seed.

What this looks like in practice

A typical situation: an appliance repair company in a regional city, a twelve-page site, and a single “Services” page listing everything at once. The owner wants to rank for “appliance repair” and gets almost no calls from the site.

We list seeds by appliance type and fault, collect queries from Search Console, Keyword Planner and autocomplete, and add the city and neighborhood names. After cleaning, a few hundred phrases remain. Clustering by search results shows that Google clearly separates “washing machine repair,” “fridge repair” and “dishwasher repair” onto different competitor pages, while queries like “washing machine not draining” are dominated by articles and videos.

As a result, the single “Services” page is replaced by a structure: a dedicated page for each appliance type with prices and service area, several pages for popular brands, and a section of advice on common faults that leads to the service pages. How quickly this pays off depends on local competition, so we don’t promise specific numbers. But now the site has a page for every group of demand instead of one page for everything.

The mistakes we fix most often

A keyword map of three “main” queries. A handful of broad, highly competitive phrases instead of hundreds of specific ones you can realistically rank for and win customers with.

Grouping by gut feeling. Queries are sorted by the owner’s logic rather than by search results. The outcome: pages that don’t answer the query the way the search engine understands it.

Commercial queries on articles, and vice versa. An article called “Renovation prices” won’t beat a service page with a price list in results where every competitor is a service page.

A new page for every minor variation. Hundreds of thin pages with one or two rare queries each dilute the site’s authority.

A keyword map nobody uses. The spreadsheet gets built, but title tags, copy and structure never change. A keyword map is only useful once it turns into concrete tasks.

Checklist: a keyword map in five steps

Seed keywords listed from the site, price list, customer conversations and competitors’ menus.

Queries collected from Search Console, Keyword Planner, autocomplete, Trends and competitor sites.

List cleaned of duplicates, negative keywords, other brands and ambiguous phrases.

Every query tagged with its type and, where possible, search volume.

Core queries clustered by shared URLs in the top 10.

Every cluster assigned to one page, with an action and a priority.

Regular keyword map updates scheduled.

Frequently asked questions

How long does it take to build a keyword map by hand?

For a service site with 20–30 pages, usually a few working days, most of which go into cleaning and clustering. For a store, a week or more. Start with your most profitable sections and fill in the rest gradually.

Can I do without search volume data entirely?

You can, though it’s less precise. Autocomplete suggestions are themselves a signal that people search for something, and Search Console shows real impressions. For prioritizing, the ranges from Keyword Planner and phrasing comparisons in Trends are often enough.

When does it make sense to switch to paid tools?

When you’re dealing with several thousand queries and checking results by hand takes weeks, or when you need to analyze dozens of competitors regularly. Paid tools speed things up, but the logic stays the same.

Does this method work for a brand-new site?

Yes — in fact, it’s better to do it before launch. That way, the site structure matches demand from day one, and you won’t have to rebuild sections and set up redirects later. If you plan to keep handling SEO in-house, you may find “DIY SEO: what you can do yourself” useful.

Summary

Building a keyword map without paid tools is entirely realistic: seed keywords, five free sources, thorough cleaning, clustering by search results in a spreadsheet, and a clear assignment of every group to a page. The most valuable outcome isn’t the list of queries itself — it’s the map that shows exactly what to change on your site and in what order.

If you’d like us to build a keyword map for your project or review the one you already have, get in touch.
